Effective communication is key to successful initiatives. This guide explores the functionality of comments within initiatives, empowering users to ask questions, share updates, and provide feedback. By leveraging comments strategically, you can streamline communication, keep everyone informed, and foster a collaborative environment for your initiatives.

Key Concepts

There are two ways to add comments, each with a distinct purpose:

  • Chat-style comments: Ideal for ongoing discussions and quick updates with your fellow initiative participants. Mention specific people using "@" to send them email notifications, or "@all" to broadcast a message to everyone involved. All chat-style comments are conveniently accessible through a single click on the comment icon.

  • Action comments: Provide context for specific actions you take on the initiative, like Submitting, Approving, or Rejecting. These comments are stored in the initiative's audit log for future reference, ensuring a complete record of actions and justifications.

Instructions

For Chat-style comments:

  • Using the secondary action arrow: Click the down arrow next to buttons like "Draft," "Save," "Endorse," or "Print" and select "Comment."

  • Using the comments icon: Locate the comments icon on the initiative page. Clicking it opens a pop-up for you to type your message and view all previous chat-style discussions.

  • Bring people directly into the conversation by using "@" followed by their name. This triggers an email notification with the comment and a link to the initiative for easy access.

Alternatively, use "@all" to broadcast a message to everyone involved in the initiative.

  • To access all chat-style comments, simply click the comments icon.

For Action comments:

  • When taking actions (e.g., Submit, Approve/Reject), a comment box will appear. Add your comment before completing the action.

  • The most recent comment is displayed in the initiative's header row for quick reference.

  • To access all action comments, simply navigate to the Audit log.
