Perform an Action for an existing Business Case.
Once an investment Business Case has been created by the Responsible Person, the approvers as configured in the Workflow will be notified to action the business case for advancement through the DoA workflow approvals. Possible actions will differ based on role assignment with distinction between manager/sponsor approval and configured DoA approvers.
Key Concepts
Business Case approval in Stratex Online is the equivalent of what of what some organizations refer to as Capital Expenditure Request (CER), Authorization for Expenditure (AFE), or Capital Appropriation Request (CAR).
The detail required to be provided is highly configurable and is determined by the scoring model applied to the Investment Reason by the Administrator.
The Problem Statement and Urgency assessment of a Business Case establish the imperative for action. The preferred option assesses the specific Benefits, Costs, Confidence, and Strategic Alignment of the proposed solution. All assessments are combined into an overall score for prioritization purposes.
If the Business Case is Approved, the initiative is automatically transitioned to Project stage and procurement processes can commence.
Instructions
Access the Initiative. This can be done in 3 ways: Email Link, The Worklist, or All Initiatives. All methods of accessing the initiative will bring the user directly to the initiative summary page.
An email will be sent to the user responsible indicating an action is needed. Access the initiative via the link in the email
Initiatives requiring action from the user will appear on the Dashboard under ‘Worklist’. Select the initiative link.
Use the sidebar menu to Navigate to the ‘All Initiatives’ view. Use filters and sorting to identify the initiative needing to be actioned. Click the initiative title to access the initiative.
Review the initiative summary page
The summary page will provide an overview, an option summary, including a benefit and confidence score if applicable, and an audit log.
Use the dropdown arrow in the financial summary header to review financial metrics
From within the dropdown menu of the green action button, select an action to perform
Available Actions will depend on the initiative’s workflow stage
Request Capex is the option that you will use as the sponsor when submitting a business case for capex approval.
Return is the option to use when returning a business case to the Sponsor for edits or changes. If the person responsible needs to make any adjustments the sponsor needs to return it again.
Reject is the option to use when outright rejecting a business case. A rejection will cause the initiative to be removed from the workflow, it is only rejected when an initiative is not needed anymore.
Reinstate is the option to use when a business case has been rejected. Reinstating the business case will return the initiative to the responsible person and require submission for sponsor review again
Approve is the option to use when advancing the business case to the next stage of approval as designated in the DoA workflow set up in configuration data.
Request Capex will trigger Procurement Approval.
A Return action is used when changes or adjustments need to be made. Reject is only used when an initiative is no longer needed.
Only Administrators can reinstate a rejected initiative.
